YOUR INFORMATION
Privacy, explained.
This notice explains how Adjuvo uses information about you when you visit the website, contact the practice or receive care.
Who is responsible for your information?
Adjuvo Physiotherapy Ltd is the data controller. Company number 16822802. Registered office: 71–75 Shelton Street, Covent Garden, London WC2H 9JQ. ICO registration: ZC091277. For privacy and general enquiries, contact us at info@adjuvophysiotherapy.com.
The information we may use
Depending on your relationship with Adjuvo, this may include your name, date of birth, postal and email addresses, telephone number, health history and clinical records. For workplace services it may also include your employer, job role or manager where relevant. Technical information from a website visit may include your IP address, browser, device and pages requested.
Most information comes from you when you contact us, book or attend an appointment. With appropriate permission or another lawful route, relevant information may also come from your GP, an insurer or a professional referring you.
Why we use it
- To respond to an enquiry, arrange appointments, assess and provide physiotherapy or related services
- To keep appropriate clinical records, coordinate care and deal with aftercare or referrals
- To take payments, invoice, manage insurance claims and keep business records
- To handle complaints or requests and meet professional or legal responsibilities
- To protect the website and improve services using information that does not identify you where possible
Submitting an enquiry or booking an appointment does not add you to a marketing list. If we invite you to receive marketing, that choice is optional. You can ask us to stop sending marketing at any time, and marketing emails will include a way to opt out.
Our legal grounds
We use enquiry, booking and contact details to take steps you request before using a service and to provide services under our contract with you. We also use information to meet legal and professional obligations, and for our legitimate interests in running and protecting the practice, where your rights do not override those interests. If we ask for your consent for an optional use, such as marketing, you can withdraw it. Health information is special-category data. For clinical care, we rely on the health or social care condition in Article 9(2)(h) of the UK GDPR, with access limited to people who need it and who are subject to appropriate confidentiality duties.
Enquiries and online booking
When you submit the enquiry form, Adjuvo receives your name, email address, selected topic and brief question. The website and Fasthosts process the submission so a notification can be delivered to info@adjuvophysiotherapy.com through Microsoft 365. Contact Form 7 does not save submitted messages in WordPress by default. Routine server logs may record technical details, and received messages are handled in Microsoft 365 as business correspondence. Please keep an initial enquiry brief and avoid sending detailed clinical records until a suitable route has been agreed.
The Book Online page includes Halaxy’s booking form. Opening that page connects your browser directly to Halaxy; it may receive technical information such as your IP address and browser details. Information you enter in the form is handled through Halaxy for the booking. Read the information shown before you submit. An external map link opens Google Maps only if you choose to use it.
When information may be shared
We use providers to run the practice, including Halaxy for bookings and clinical records, Microsoft 365 for email and Fasthosts for this website. Where relevant to your services, we also use VALD assessment tools, Xero for accounting and Doctify for reviews. We may share relevant information with another treating clinician, your GP, an insurer or an employer where it is appropriate and lawful for care, an authorised claim or a workplace assessment. We may disclose information to a regulator or public authority when the law requires it. We limit sharing to information needed for the purpose.
How long it is kept
We keep information only as long as needed for the purpose for which it was collected and any applicable clinical, professional, tax or legal requirement. Clinical records are kept in line with the rules and guidance that apply to the type of record and the client’s age; accounting records follow applicable tax and company requirements. Enquiries that do not become clinical records and routine website logs are kept for shorter operational periods. Email info@adjuvophysiotherapy.com if you want to know the period or criteria relevant to a particular record.
Keeping information secure and transfers abroad
We keep information in access-controlled systems provided for our clinical and business work, with security measures and data-protection arrangements intended to support compliance with the UK GDPR. This does not mean that every provider stores or accesses information only in the UK: some may process it elsewhere. Where an international transfer is subject to UK GDPR rules, it must be covered by a lawful mechanism such as UK adequacy regulations or appropriate safeguards. Contact us if you would like information about the arrangements relevant to a particular service.
Your rights
Depending on the circumstances, you may ask to see your personal information, correct it, restrict or object to its use, request deletion or portability, and withdraw consent where consent is the basis. Some rights have exceptions, including where clinical records or legal requirements apply. Contact us if you want to exercise a right or understand how it applies to a particular record.
If you have a concern, contact us first so it can be investigated. You can also complain to the Information Commissioner’s Office.
Cookies and this website
This website does not deliberately add analytics, advertising cookies, embedded maps, social media widgets or third-party fonts. WordPress may use login cookies for editors and the host may keep security and access logs. The embedded Halaxy booking form may use cookies or similar storage for booking and payment. Some pages offer Doctify review widgets. They load only if you choose “Show client reviews” or “Show Doctify ratings”; opening a widget contacts Doctify and may use cookies or similar technology. The ordinary link to Adjuvo’s Doctify profile takes you to Doctify’s own website. For information about cookies or similar technologies used within Halaxy’s booking form or Doctify’s reviews, see the privacy information those services provide when you use them.
